This information is used to understand how our website is used, to improve its performance and content, and to maintain its security. Where analytics tools are used, they are configured to collect only the information necessary for these purposes.
Further details about cookies and how to manage your preferences are provided in Section 15.
7.Sensitive and Special Category Information
Certain categories of personal information are treated with additional care under UK data protection law. These include information that may reveal health circumstances, disability, ethnicity, religious or philosophical beliefs, political opinions, or other sensitive personal circumstances.
Chevening Youth Hub will only request or process sensitive personal information where it is genuinely necessary for a specific programme purpose, where an appropriate lawful basis exists, and where we have taken reasonable steps to handle it with appropriate care and proportionality.
In the context of our work with young people from conflict-affected and fragile contexts, we recognise that some participants may share information relating to displacement, conflict-related experiences, health circumstances or other sensitive matters. We treat all such information with the utmost discretion and will not use it for any purpose beyond that for which it was provided.
We ask that you avoid submitting sensitive personal information that is not directly relevant to the purpose for which you are contacting us or applying. If you are unsure whether certain information is necessary, please contact us before submitting it.
8.Children and Young People
Chevening Youth Hub’s programmes and services are primarily designed for young adults and adult participants. However, given the nature of our work in youth development and education, some activities may involve participants under the age of 18.
Where a programme or activity is open to participants under 18, we will take appropriate steps to ensure that parental or guardian consent is obtained where required, that safeguarding considerations are applied, and that personal information relating to younger participants is handled with additional care and proportionality.
We do not knowingly collect personal information from children under 13 without appropriate parental or guardian consent. If you believe that a child under 13 has submitted personal information to us without appropriate consent, please contact us so that we can take appropriate action.
If you are under 18 and wish to participate in any of our programmes or activities, we encourage you to discuss this with a parent or guardian before submitting personal information.
9.How We Use Personal Information
We use personal information for the following purposes:
- Processing and assessing applications to our programmes, initiatives and activities;
- Communicating with you about your application, participation or enquiry;
- Delivering mentoring sessions, educational activities and programme services;
- Managing event registrations and attendance;
- Providing resources, materials and information relevant to your participation;
- Supporting participants throughout their engagement with our programmes;
- Responding to enquiries, feedback and correspondence;
- Improving our website, services and programme quality;
- Maintaining organisational records and programme administration;
- Producing anonymised impact reports, evaluations and funding reports;
- Protecting the security and integrity of our website and digital services;
- Preventing misuse, fraud or unlawful activity;
- Complying with applicable legal obligations;
- Sending optional newsletters or programme updates where you have given consent.
We will not use your personal information for purposes that are incompatible with those described in this policy without informing you and, where required, obtaining your consent.
10.Lawful Bases for Processing
Under UK GDPR, we are required to have a lawful basis for processing personal information. The lawful basis we rely on will depend on the specific purpose for which we are processing your information. The bases we may rely on include:
- Consent: Where you have given us clear, specific and informed consent to process your information for a particular purpose, such as subscribing to our newsletter, contributing a testimonial, or consenting to the use of your photograph or video. You may withdraw consent at any time.
- Legitimate interests: Where processing is necessary for our legitimate interests in operating and improving our programmes and services, provided those interests are not overridden by your rights and interests. This may include maintaining programme records, improving our website, and communicating with participants about relevant activities.
- Steps taken at your request: Where processing is necessary to take steps at your request prior to entering into a programme relationship or service arrangement, such as processing your application.
- Legal obligations: Where processing is necessary to comply with a legal obligation to which we are subject.
- Vital interests: In exceptional circumstances, where processing is necessary to protect the vital interests of a participant or another person, for example in a safeguarding situation.
Where we rely on consent as our lawful basis, we will make this clear at the point of collection and will not treat consent to one purpose as consent to another.
11.Programme Applications
When you submit an application to one of our programmes or initiatives, the information you provide will be reviewed and assessed by authorised members of our team in accordance with the relevant programme criteria. Application information may be shared internally with those involved in the selection or delivery of the programme.
Application information is retained for a reasonable period following the conclusion of the application process, to enable us to respond to queries, maintain programme records, and comply with any applicable reporting or safeguarding obligations.
Submitting an application does not guarantee acceptance, selection, participation, funding or any other specific outcome. Please refer to Section 10 of the Terms of Use for further details.
12.Mentoring and Educational Activities
Where you participate in mentoring or educational activities through Chevening Youth Hub, we may use your personal information to match you with an appropriate mentor or facilitator, organise and schedule sessions, monitor attendance and engagement, support your learning journey, and evaluate the quality and impact of our programmes.
Information shared within mentoring sessions is treated with discretion. Mentors and facilitators are expected to handle participant information responsibly and in accordance with our programme guidelines.
Session records and notes may be retained for a reasonable period to support programme continuity, quality assurance and impact evaluation, after which they will be securely deleted or anonymised.
13.Communications
Operational communications: We may contact you with information that is directly relevant to your application, programme participation, event registration or enquiry. These communications are necessary for the administration of our services and do not require separate consent.
Optional communications: We may also offer you the opportunity to receive newsletters, programme updates, impact stories and other optional communications. These will only be sent where you have given your specific consent to receive them. You may withdraw this consent at any time by following the unsubscribe instructions in any such communication or by contacting us directly.
Consent to participate in a programme or activity does not constitute consent to receive marketing or promotional communications. We will always ask for separate, specific consent for optional communications.
14.Photographs, Videos, Testimonials and Impact Stories
Where we wish to use identifiable photographs, videos, testimonials or personal stories in connection with our communications, publications, website, social media or impact reports, we will ensure that an appropriate lawful basis exists for doing so.
Where consent is the appropriate basis, we will seek your specific, informed and freely given consent before using your image, voice or personal story. We will explain clearly how the content will be used and for how long. You have the right to withdraw your consent at any time, and we will take reasonable steps to remove or stop using the content following a withdrawal of consent.
Refusing to provide optional consent for photographs, videos or testimonials will not unfairly prevent you from accessing our programmes or services, unless media participation is a genuinely necessary and clearly explained component of a specific activity.
16.Third-Party Services
We may use third-party service providers to support the operation of our website and programmes. These may include providers of website hosting, email delivery, form and application platforms, cloud storage, analytics services, video platforms, embedded maps, social media platforms, and event or communication tools.
Where we share personal information with third-party service providers, we do so only to the extent necessary for the relevant service, and we take reasonable steps to ensure that those providers handle personal information appropriately and in accordance with applicable data protection law.
Third-party service providers act as data processors on our behalf and are not permitted to use your personal information for their own purposes beyond the service they provide to us.
We will only share personal information with third parties that we reasonably believe provide appropriate safeguards for the information they handle.
17.Data Sharing
We may share personal information in the following circumstances:
- With authorised team members: Personal information may be accessed by authorised members of the Chevening Youth Hub team who need it to carry out their responsibilities in connection with our programmes and services.
- With mentors or programme facilitators: Where necessary for the delivery of a mentoring or educational activity, relevant information may be shared with the mentor or facilitator involved.
- With trusted service providers: As described in Section 16, we may share information with third-party service providers acting on our behalf.
- With delivery partners: Where a specific programme is delivered in partnership with another organisation, and where that partnership is expressly confirmed, relevant information may be shared with the partner to the extent necessary for programme delivery.
- Where required by law: We may disclose personal information where required to do so by applicable law, court order or regulatory authority.
- To protect rights, safety or security: We may share information where reasonably necessary to protect the rights, safety or security of Chevening Youth Hub, its participants, team members or others.
We do not sell, rent or trade personal information to any third party for commercial purposes.
18.International Data Transfers
Chevening Youth Hub operates as a platform with participants, team members and service providers located in multiple countries. As a result, personal information may be transferred to, stored in, or processed in countries outside the United Kingdom.
Where UK data protection law applies to such transfers, we take reasonable steps to ensure that appropriate safeguards are in place, in accordance with the requirements of UK GDPR. This may include relying on adequacy decisions, standard contractual clauses, or other appropriate transfer mechanisms where required.
We do not represent that all personal information is stored exclusively within the United Kingdom, as the nature of our international programmes and the use of cloud-based service providers means that data may be processed in various locations.
19.Data Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, alteration, disclosure or destruction. These measures include the use of secure hosting environments, access controls, and reasonable precautions in the handling of personal information by our team members.
However, no online service or digital transmission can be guaranteed to be completely secure. While we take our security obligations seriously, we cannot guarantee the absolute security of information transmitted to or from our website. You submit personal information at your own risk, and we encourage you to take appropriate precautions when sharing information online.
If you believe that your personal information has been compromised or that there has been a security incident affecting your data, please contact us as soon as possible.
20.Data Retention
We retain personal information only for as long as is reasonably necessary for the purposes for which it was collected, including for programme administration, safeguarding, legal compliance, reporting obligations and legitimate record-keeping.
The appropriate retention period will depend on the nature of the information and the purpose for which it was collected. For example, application information may be retained for a reasonable period following the conclusion of the relevant programme cycle; mentoring records may be retained for a period sufficient to support programme continuity and quality evaluation; and communications may be retained for as long as necessary to resolve any related queries.
When personal information is no longer required, we will take reasonable steps to delete or anonymise it securely.
21.Anonymised and Aggregated Data
We may use anonymised and aggregated statistical information — from which individuals cannot reasonably be identified — in our impact reports, funding reports, presentations, evaluations and public communications. This type of information helps us demonstrate the reach and effectiveness of our programmes without identifying any individual participant.
Anonymised data of this kind does not constitute personal information for the purposes of UK data protection law and may be used and retained without the restrictions that apply to personal information.
22.Your Rights
Under UK data protection law, you have a number of rights in relation to your personal information. These rights are subject to certain legal conditions and exemptions, but in general you have the right to:
- Access: Request a copy of the personal information we hold about you;
- Correction: Request that we correct inaccurate or incomplete personal information;
- Erasure: Request that we delete your personal information in certain circumstances;
- Restriction: Request that we restrict the processing of your personal information in certain circumstances;
- Objection: Object to the processing of your personal information where we rely on legitimate interests as our lawful basis;
- Data portability: Request a copy of personal information you have provided to us in a structured, commonly used and machine-readable format, where technically feasible and where the processing is based on consent or a contractual relationship;
- Withdrawal of consent: Where we rely on your consent as the lawful basis for processing, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before the withdrawal;
- Complaint: Lodge a complaint with the relevant supervisory authority.
To exercise any of these rights, please contact us using the details provided in Section 26. We will respond to your request within a reasonable timeframe and in accordance with applicable law.
23.Complaints
If you have a concern about how we have handled your personal information, we encourage you to contact us in the first instance so that we can try to resolve the matter. Please use the contact details provided in Section 26.
If you are located in the United Kingdom or if UK data protection law applies to the processing of your information, you may also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO). The ICO can be contacted at ico.org.uk.
We do not hold an ICO registration number and do not claim to be registered with the ICO unless and until such registration is confirmed.

We may update this Privacy Policy from time to time to reflect changes in our practices, services or applicable law. When we make changes, we will update the “Last updated” date at the top of this page.
We encourage you to review this policy periodically. Where changes are material, we will take reasonable steps to bring them to your attention. Continued use of our website or services following an update to this policy constitutes your acknowledgement of the updated version.

We will endeavour to respond to all privacy-related enquiries within a reasonable timeframe.

Nothing in these Terms of Use limits or excludes our liability for:
- Death or personal injury caused by our negligence;
- Fraud or fraudulent misrepresentation;
- Any other liability that cannot lawfully be excluded or limited under applicable law.
Our total liability to you in connection with these Terms of Use, to the extent that any liability arises, shall be proportionate to the nature of our activities as a non-profit, volunteer-led educational platform.
22.Suspension and Termination
We reserve the right to restrict, suspend or terminate your access to our website or participation in our programmes where we reasonably believe that you have breached these Terms of Use, engaged in misuse, posed a safeguarding concern, created a security risk, or engaged in unlawful conduct.
Where practicable, we will endeavour to notify you of any such action and the reason for it. In cases involving safeguarding concerns or serious security risks, we may take immediate action without prior notice.
23.Privacy
Your use of our website and services is also governed by our Privacy Policy, which is set out in Part One of this page. The Privacy Policy explains how we collect, use, store and protect your personal information and describes your rights under applicable UK data protection law.

26.No Waiver
Our failure to enforce any provision of these Terms of Use on any occasion shall not constitute a waiver of that provision or of our right to enforce it on a future occasion. No waiver of any provision shall be effective unless made in writing.
27.Governing Law and Jurisdiction
Chevening Youth Hub operates as a platform with connections to the United Kingdom through its alumni foundation and the values from which it developed. We recognise that users access our website from many different countries and jurisdictions. Nothing in these Terms of Use is intended to deprive you of any mandatory rights or protections that apply to you under the laws of your own country or jurisdiction.
Where the exact legal establishment of Chevening Youth Hub is not formally confirmed, the governing law and jurisdiction provisions in these Terms should be understood as reflecting our operational connections to the United Kingdom rather than as a formal legal submission to the exclusive jurisdiction of any court.
